This article explains the usage of email signatures through specific areas in Reapit PM.

The following will cover each of the signature locations and how they will function when used.
Profile Signature
The Profile Signature is used in communications that are more personal or directly tied to the individual user. It appears in:
- Direct communication from property, owner, tenant, creditor, excluding tenant invoices
- Direct communication from workflows using the message buttons
- Bulk communication from the Lease Renewal Workflow
- Bulk communication from People > Contacts, Owners, Tenants, Creditors
Portfolio Signature
The Portfolio Signature is applied to automated and bulk communications that are specifically related to a portfolio. It appears in:
- Automated communication (Arrears, Inspection Reminders, Auto Invoices, Auto Rent Receipts, Statements)
- Bulk communication from Workflows (excluding the lease renewal workflow)
- Directly sending tenant invoices
Office Signature
The Office signature will be used when no portfolio is assigned to the property.
Reapit PM Ap Signature
While logged into the Reapit PM App, you can add or update your signature by navigating to the profile icon on the top right of the app and selecting Profile. Click Email Signature to add or make changes.
Good to Know
Certain Merge Fields used in email templates to merge in user and office information are good to be aware of. {{userName}} and {{officeTradingName}} can be found in most templates, but may not be required if those details are already in your email signature, as these could lead to duplicate information in the sent email. Our recommendation is to remove the ****merge fields where the information is included in the signature.
We also recommend that the email, phone and mobile fields are left blank in the profile and portfolio settings if you are setting up a signature. This is also due to duplicated information displaying in the sent email.
