    Xero Integration

This article explains about Xero Integration in Reapit Sales.

The processes in this article include:

    • Initial Xero Setup
    • Export Reapit Sales Commission Payment Balances to Xero Payslips

Note: Xero integration is available for clients with the Debit & Credit Commissions Module. Request more information via our Client Change Request Form. Reapit Sales integrates with Xero Payroll to provide greater efficiency and prevent the double-entry of data and human error when paying agent commissions. Once set up and configured, the agent's commission balances are pushed from Reapit Sales to their draft XERO Payslips. Initial Xero Setup

    1. Ensure you have configured your employee details, earnings rates, and pay runs in Xero before proceeding with the Integration. If you are unsure of how to configure these in Xero, please refer to Xero support documentation.
    2. To have the Xero integration enabled in your system, submit a Client Change Request Form so our team can do this for you. Once you receive confirmation from our team that this has been completed, proceed to complete the following steps.
    3. Navigate to My Office.

    1. Click Edit Details
    2. Navigate to System Config.
    3. From the dropdown, select XERO Integration.

Note: If you have access to multiple organisations within your Xero Account, please ensure you connect Reapit Sales to the correct Xero organisation relevant to your Reapit Sales System. You can only connect a single Xero Organisation to your Reapit Sales system. 7. Click Authorise. 8. Xero will prompt you to Allow Access from Reapit Sales to your Xero account. 9. The next step is to configure the default settings that will be used when pushing Agent commission balances to Xero Payslips. From within the XERO Integration configuration options in Reapit Sales under Payroll Integration, you can set the following defaults.

Default Earnings Rate: Select the Default Earnings Pay Item that will be used when exporting agents' commission balances to XERO Payslips. This must be a fixed amount rate that you have configured in your Xero settings. If you do not see any options within the dropdown, click the Refresh From Xero button to refresh the values from Xero.

Default Super Included: Reapit Sales will automatically deduct superannuation from Agent Commission Balances before exporting to their Xero Payslip to avoid double-up. Enter the default rate of superannuation that is presumed to be

included in Agent Commissions. If superannuation is NOT included in Agent Commission, enter “0”.

    1. Click Save.

Each agent will need to be mapped to their corresponding XERO employee record. The following steps must be performed for each Agent in Reapit Sales that will have commission balances pushed to Xero Payslips.

    1. Navigate to My Office. 12. Search for a staff member. 13. Navigate to the Connections tab. 14. Select Xero Payroll from the dropdown. 15. Select the matching Xero employee profile from the dropdown options.

Note: You may need to click Refresh From Xero to refresh the employee list from Xero.

    16. Where applicable, you can configure a specific earnings rate and/or super rate for each agent. If configured, this will override the defaults you have set in the Xero integration configuration options. 17. Click Save. 18. This completes the initial setup of Xero with your Reapit Sales system and relevant staff members. Once you have submitted your next Agent Net Commission Payments Reports, you can complete the following steps to export to Xero. Export Reapit Sales Commission Payment Balances to Xero Payslips 1. Navigate to Reports. 2. Under Agent Reports select Agent Net Commission Payments. 3. Click Processed Summary. 4. The Processed Summary view provides a summary of all commission payments previously processed via the Agent Net Commission Payments Report. The default view displays the last payment processed for all active agents. You can also filter for a particular agent to show their entire payment history. 5. Select the individual agent payment records to export to Xero and click the Export icon. 6. You may be prompted to reauthorise the connection to Xero. If so, click Authorise.

    1. Otherwise, you can proceed to create a Draft Payrun in Xero if required and Export.

This process will export commission balances to Employee Payslips in a current Draft Pay Run. If you have already initiated a draft pay run in Xero, the commission balances will be appended to each employee’s payslip in the draft pay run.

If you have not already initiated a draft pay run in Xero, you can elect to Create a DRAFT pay run in Xero during the export.

Note: It is possible to have some agents on a different Pay Calendar in Xero to others. A Draft Pay Run is required for each Pay Calendar applicable to the agents included in the export.

    8. Once you have completed the export, proceed to confirm all exported balances in Xero before finalising/posting the pay run via the Xero Interface.
