Sales Trust Initial Setup Checklist
The steps to complete before processing your first transaction in the Sales Trust module.
Overview
Before you process your first deposit in the Sales Trust module, the trust account and its supporting settings must be configured correctly. Work through this checklist in order — later steps depend on earlier ones. This article covers:
- Entering trust account bank details
- Configuring receipt and cheque numbering
- Setting up user permissions
- Completing the pre-live check
Enter trust account bank details
- Navigate to Trust › Settings › Bank accounts.
- Select + Add trust account.
- Enter the account name exactly as it appears on your bank statement, along with the BSB and account number.
- Set the state the account is audited in. This drives the compliance rules and report formats applied to the account.
- Select Save.
Note: The account name must match your statutory trust account registration. Auditors check this during your annual audit.
Configure receipt and cheque numbering
- Go to Trust › Settings › Numbering.
- Set the starting receipt number. If you are migrating from another system, continue from your previous sequence rather than restarting at 1.
- If your agency still issues trust cheques, set the starting cheque number to match your physical cheque book.
- Select Save. Numbers cannot be changed once the first receipt has been issued.
Set up user permissions
- Navigate to Settings › Users and open each user who needs trust access.
- Assign one of the trust roles:
- Trust operator — can receipt and prepare payments
- Trust supervisor — can additionally authorise payments and complete reconciliations
- Select Save on each user. At least one supervisor is required before going live.
Complete the pre-live check
- Go to Trust › Settings › Pre-live check.
- The check verifies bank details, numbering, permissions and your agency licence details.
- Resolve any items flagged in red, then select Mark as complete.
