    Tenant Self Inspections

    How to invite tenants to complete a self-inspection and review the photos and responses they submit.

    Overview

    Tenant self-inspections let a tenant complete a routine inspection themselves by photographing each room against a checklist you define. They are useful for remote properties, low-risk tenancies, or periods when access is restricted. This article covers:

    • When self-inspections are appropriate

    When self-inspections are appropriate

    Check your state legislation and agency policy before relying on self-inspections. Most agencies use them to supplement, not replace, in-person routine inspections — for example alternating one self-inspection between physical visits.

    Sending a self-inspection invitation

    1. Navigate to Inspections and select + New Inspection.
    2. Choose the property, then set the inspection type to Routine — tenant self-inspection.
    3. Set the due date — the tenant must submit their inspection by this date.
    4. Review the checklist template. The default template lists each room recorded against the property; add specific items if needed, such as smoke alarm photos.
    5. Select Send invitation. The tenant receives an email and SMS with a secure link.

    Note: The link expires on the due date. If the tenant misses it, reopen the inspection and select Resend invitation to issue a new link.

    What the tenant completes

    1. The tenant opens the link on their phone — no app installation or login is required.
    2. For each room, they take the requested photos and answer the checklist questions, and can add comments about any issues.
    3. They submit the inspection when every section is complete. Partial progress is saved, so they can finish later on the same device.

    Reviewing and finalising the submission

    1. When the tenant submits, the inspection status changes to Awaiting review and you receive a task.
    2. Open the inspection to view photos and responses room by room. Flag any photo that warrants follow-up — flagged items can be converted directly into maintenance requests.
    3. Select Finalise to generate the inspection report, or Request more detail to return specific sections to the tenant with a note.
    4. Once finalised, the report is stored against the property and can be shared with the owner like any other routine inspection report.

    Tip: If the photos suggest problems that need professional eyes, schedule a follow-up in-person inspection rather than finalising from the submission alone.
