Creating and Managing Inspections

Overview

This article covers the creation and management of inspections in Reapit PM. The processes in this article include:

• How to create an inspection
• Filtering inspections
• How to generate a list of tenants without upcoming routine inspections
• How to update routine inspection dates in bulk

How to create an inspection

1. Navigate to Inspections from the left-hand menu.
2. Select + New Inspection in the top-right corner.
3. Choose the property the inspection relates to. The current tenancy is linked automatically.
4. Select the inspection type — Routine, Ingoing or Outgoing.
5. Set the date and time window, and assign the property manager who will complete it.
6. Select Save. The inspection now appears on the inspections calendar and in the assigned manager's task list.

Tip: Routine inspection frequency defaults come from your office settings. See your agency's compliance requirements for the maximum interval allowed in your state.

Filtering inspections

Use the filter bar at the top of the Inspections screen to narrow the list:

1. Filter by status (Scheduled, Completed, Overdue), type, property manager or suburb.
2. Combine filters to build views such as "Overdue routine inspections for a single manager".
3. Select Save view to keep a filter combination for one-click reuse.

Generate a list of tenants without upcoming routine inspections

1. Open Inspections and select the Reports tab.
2. Choose Tenancies without scheduled inspections.
3. Set the look-ahead window (for example, the next 90 days).
4. Select Run report. Export the results to CSV, or bulk-create inspections directly from the report.

How to update routine inspection dates in bulk

1. From the Inspections list, tick the checkbox beside each inspection you want to move.
2. Select Bulk actions › Reschedule.
3. Choose a new date, or shift all selected inspections by a set number of days.
4. Select Apply. Tenants receive updated notifications automatically if notifications are enabled for your office.
