AML Listing Gate

Overview

The AML Listing Gate is an office-level setting that prevents a sale listing from being set to Available until every vendor on the listing has a completed verification case in Reapit Verify. It turns your AML/CTF obligation into a hard checkpoint in the listing workflow, so a campaign cannot launch with verification outstanding. This article covers:

How the gate works

1. When a user attempts to change a sale listing's status to Available, Reapit Sales checks Reapit Verify for each vendor contact on the listing.
2. If every vendor has a case with status Complete — Verified, the status change proceeds as normal.
3. If any vendor is unverified, the status change is blocked and the user is shown which vendors are outstanding, with a shortcut to create or resend the verification case.
4. The gate applies to sale listings only. It does not affect appraisal or withdrawn statuses, and lettings are out of scope.

Enabling the AML Listing Gate

Administrator access is required:

1. Open Reapit Verify and navigate to Settings › Compliance.
2. Toggle on AML Listing Gate.
3. Choose the enforcement mode:
   • Warn — users see a warning naming the unverified vendors but can proceed. Useful during rollout.
   • Block — the status change is prevented until verification is complete.
4. Select Save. The setting applies per office and takes effect immediately.

Tip: Run in Warn mode for two to four weeks before switching to Block. The warning data shows you how often listings would have been held up, so you can fix process gaps before enforcing.

What agents see when a listing is gated

1. On the listing, a Verification banner shows each vendor's case status from the moment the listing is created.
2. Attempting to set the listing to Available with verification outstanding shows the blocked dialog listing each unverified vendor.
3. From the dialog, agents can create a case or resend a request without leaving the listing.
4. Once the last vendor's case completes, the listing can go Available immediately — there is no processing delay.

Overrides and exceptions

1. In Block mode, users with the Compliance Officer role can override the gate for a single listing, recording a reason. The override is logged in the audit trail with the user, reason and timestamp.
2. Overrides are intended for genuine exceptions, such as a court-ordered sale where your AML/CTF program documents alternative measures — not as a routine bypass.
3. The Gate activity report under Settings › Compliance lists all blocks, warnings and overrides for compliance review.
