    Setting up Agency Defaults in Reapit Forms

    How administrators set office-wide defaults in Reapit Forms so agency details, fees and clauses pre-fill on every form.

    Overview

    Agency defaults are office-wide values that pre-fill on every form your team creates — agency details, standard fees, bank details and special conditions. Setting them up once saves re-keying and keeps documents consistent. This article covers:

    Administrator access is required for all steps in this article.

    Opening office settings

    1. Sign in to Reapit Forms as an administrator.
    2. Select your initials in the top-right corner, then Office Settings.
    3. If you manage multiple offices, choose the office from the selector at the top — defaults are set per office.

    Agency details and branding

    1. In the Agency Details section, confirm the trading name, licensee name, corporation licence number, ABN and registered address.
    2. Upload your agency logo (PNG or JPG, at least 600px wide). The logo appears in the header of generated documents.
    3. Select Save.

    Note: These details appear on legally binding documents. Check them against your licence records — an incorrect licensee name here is reproduced on every agreement the office sends.

    Default fees and charges

    1. Open the Default Fees section.
    2. Enter your standard values, for example management fee percentage, letting fee, lease renewal fee and advertising contribution.
    3. Select Save. The values pre-fill on new agreements but remain editable per form, so negotiated rates can still be entered.

    Standard special conditions

    1. Open the Special Conditions section and select + Add condition.
    2. Give the condition a name (for example, "Pool maintenance") and enter the clause text.
    3. Mark the condition Default to include it on every new agreement automatically, or leave it optional so agents can insert it from a picker.
    4. Select Save.

    Tip: Review agency defaults at the start of each financial year, and whenever fees or legislation change. Changes apply to new forms only — existing drafts keep the values they were created with.
